Sport Coordinator position available - Fixed term, Part time
Sports Coordinator – Part time, 6-month Fixed Term Contract
$25 per hour, Up to 20 hours per week
We are seeking a dynamic and versatile Sports Coordinator to play a crucial role in supporting the Auckland Dragon Boat Association (ADBA) Committee’s goals and objectives.
This unique part time, fixed-term role combines event coordination, marketing, and administrative tasks to ensure the success and growth of dragon boating in the Auckland Region.
The successful candidate will have passion for sports, excellent organisational skills, and the ability to work collaboratively with various stakeholders.
About the Auckland Dragon Boat Association (ABDA)
Welcome to the Auckland Dragon Boat Association (ADBA) – Auckland’s premier not-for profit Regional Sports Organisation (RSO). Rooted in the heart of Auckland, we are dedicated to creating a thriving sporting community. As a registered charity, our mission is to empower the growth of our 400 members and teams, enabling them to excel in their pursuits throughout the season from October to April.
At the core of our ethos lies the commitment to provide a secure, encouraging, and enjoyable environment for all. Our regionally tailored sports program encompassed a balanced blend of camaraderie, skill building and professionalism. Designed to cater to diverse community groups, youth and adult teams, our initiative embraces the spirit of inclusivity and collaboration.
Since its inception in 1998, dragon boating has taken Auckland by storm. In 2008, we took a significant stride by formalising our presences as a registered society under number 2166967. Further underscoring our dedication, we gained charity status (CC44176), solidifying our status as a collective run by passionate paddlers, for paddlers.

The purposes of the Auckland Dragon Boat Association Inc Society are:

To develop, organise and promote social and competitive sport of dragon boating amongst adult and school teams in the Auckland Region

To promote codes of conduct for members and management that are exemplary and to endorse the spirit of fair play and good sportsmanship in and between teams at all times.

To protect and maintain the assets of the Auckland Dragon Boat Association and the NZ Dragon Boat Association

To work under the NZDBA racing rules

To support regional, national, and international championship competition in the spirit of the Olympic Charter

Do anything necessary or helpful to the above purposes.
Pecuniary gain is not a purpose of the Society.
Main responsibilities
-
Corporate Splash Event Management
-
Compile a list of potential business leads focussed on team building and wellbeing for committee consideration.
-
Act as the primary point of contact for interested corporate organisation and universities, assisting with their event registrations, safety waivers, and inquiries.
-
Collaborate with Events Manager to determine suitable event dates within the calendar.
-
Drive advertising efforts for corporate events in collaboration with the Events Manager through various publications
-
Collaborate with the training manager to coordinate training slots for corporate teams and one-off teams.

Contribute to the organisation of the Corporate Splash event, including volunteer coordination, race draws and event logistics with hosting teams.

Collect feedback from team managers and participants after events, promoting season engagement, sharing event footage and reporting insights to the events manager.

Marketing and Communications Assistant
-
Assist in designing and proposing a comprehensive Marketing Plan to the ADBA Committee, including a Monthly Newsletter or internal members.
-
Develop and propose retention and recruitment plan for paddlers, teams, and volunteers.
-
Implement approved marketing, retention, and recruitment strategies.
-
Contribute to branding plans for each event.
-
Assist in crafting and distributions of press releases.
-
Develop and implement sponsorship plan.
-
Manage sponsors requirements for each event.
-
Contribute to and implements merchandising plan.
-
Update and moderate relevant information on the ADBA website, coordinating with the Events Manager for social media promotion.
-
Track and report on marketing spend at monthly committee meetings.
-
Funding Manager
-
Develop and maintain a funding plan based off the ADBA Committee Wishlist
-
Obtain approval from ADBA committee for charity funding submissions.
-
Obtain quotes for equipment and other needs.
-
Prepare funding submissions.
-
Provide monthly status reports on funding submissions to the ADBA Committee
Other responsibilities:
-
Assist the Secretary with member registrations and correspondence.
-
Assist the Training Manager and Coordinator in managing training camps, rep team plans, coaches’ forums, and sports awards.

Assist the School Coordinator in compiling a schools contact database
-
Assist Equipment Manager in creating and maintaining an asset register, managing, and reporting maintenance schedules and tracking expenses.
-
Assist Safety Manager in hazard and risk management and documentation, safely planning, and equipment maintenance.

Assist Event Manager, in event coordination, including vendor communication, financial tracking and logistics management Coordinator such as:
-
Ensuring each resource delivers to plan.
-
Tracking and reporting on spend
-
Creating event entry form through the website
-
Sending event register to treasurer for financial management
-
Completing race draw and prints final draw for the event.
-
Publishing races draw online.
-
Publishing race results at the event and online the next day
-
Arranging volunteers’ food and refreshment for each event
-
Ensuring race control tent incl first aid area is setup and packed down at each event.
-
Obtaining quotes from Regional Vendors for events as soon as the dates are confirmed.

Booking and confirming Regional Vendors
-
Sending regular communications to Regional Vendors to ensure they stay committed.
-
Communicating pack in and pack out schedule to Vendors.
-
Communicating Vendor contact details to ADBA committee and volunteers
-
Ensuring Regional Vendors are paid as per the approved quote.

Management of Polar Bears
-
Assist the Sweep Coordinator in managing the sweeps assessment program.

Undertake any other responsibilities as assigned by the ADBA Committee
Qualifications:
-
Proven experience in event coordination, marketing and/or sports administration
-
Strong organisational skills with the ability to manage multiple tasks and responsibilities.

Effective communication skills for collaboration with committee members, vendors, and participants
-
Proficiency in Microsoft Office Suit (Work, Excel, PowerPoint, and Teams) and other digital communication platforms.

Ability to work collaboratively within a team orientated environment.
-
Passion for sports, particularly dragon boating is advantageous.
